How to Use Audit Trail – Video
Watch how to use the Audit Trail feature to track every transaction change and keep your accounting records accurate.

Now you can easily track every single change made in your business transactions with Vyapar’s new Audit Trail feature. As per the Ministry of Corporate Affairs’ new mandate, maintaining an audit trail for all business transactions has become compulsory. This feature helps you stay protected from transaction errors and unauthorised changes.
Step 1: Open Vyapar Billing Software
Start by opening the Vyapar Billing Software on your system.
Go to General Settings, and there you’ll find the Audit Trail option.
Step 2: Turn On the Audit Trail
Once you turn on the Audit Trail, the system will automatically start recording every small change made to your transactions — including sales, purchases, sales orders, purchase orders, sales returns, purchase returns, fixed assets purchases, expenses, payments in/out, and even party-to-party transfers.
Step 3: Create a Sample Transaction
Let’s see how it works.
Create a Sales Bill by clicking on “Sales,” selecting your party name (or choosing Cash Sale), adding your items, and filling in all required details.
Once done, click Save.
Step 4: View Transaction History
After saving, click on the three dots on the side of the transaction.
You’ll now see a new option called View History.
If you haven’t made any changes yet, there won’t be any activity shown here.
Step 5: Make Changes and Track Them
Now, double-click on your invoice and make some changes — for example, update item prices, GST percentage, or add a new item.
Save the invoice again, and then go back to View History.
You’ll now see all the changes listed — like Item Price Changed, Tax Per cent Changed, Item Added, etc.
You can also see the date, time, device name, and the person who made the change.
Step 6: Delete or Cancel a Transaction
If you click the three dots again, you’ll see options to delete or cancel the transaction.
By choosing Continue Delete, the transaction will be permanently removed.
By choosing Cancel Invoice, the invoice will stay saved in your records but marked as cancelled.
Even cancelled invoices will have their complete history available for review anytime.
The Audit Trail feature gives you complete transparency and control over your business data.
It ensures accuracy, security, and accountability for every change made in your records — making your accounting process more reliable and error-free.
